2. Getting started (first 10 minutes)

  1. Create an account — register at Softwire and create your first workspace.
  2. Open Settings — enter company name, GSTIN, PAN, address, and state code → Save.
  3. Invite your team — email + role (Owner / Admin / Agent / Member).
  4. Enable notifications — leave review, payslip ready, ticket assigned, expense approval, member join, and subscription reminders.
  5. Explore modules — HRMS, CRM, Billing, and Tickets from the sidebar.
Tip: Owners have full permissions. Fine-tune other roles under Security → RBAC.

3. Organization & settings

Company profile → Tax compliance → Invites → Notifications

3.1 Company profile

  • Display name — shown across the workspace UI and headers.
  • Legal name — used on invoices and compliance documents.
  • Logo — PNG/JPG up to 2MB; appears on HRMS headers and payslips.
  • Branding — accent colors for a white-labeled experience.

3.2 Tax & compliance (India)

  • GSTIN (15 characters) and PAN (10 characters) for supplier details on invoices.
  • State code — determines CGST+SGST vs IGST (same state = split CGST/SGST).
  • Financial year start — defaults to April; reports align to this period.

3.3 Email invites

  1. Settings → Pending invites → enter email and role.
  2. Invite email is sent; link expires in 7 days.
  3. New users register first, then open the invite link to join the workspace.

3.4 Notifications

Configure email alerts for leave reviews, payslip ready, ticket assignments, and expense approvals. WhatsApp channel is available in log mode for development.

3.5 Enterprise features

On the Enterprise plan, Organization settings unlocks:

  • SSO & custom domain — Google, Microsoft, or Okta with your company email domain and optional workspace URL.
  • Dedicated onboarding — named success contact, rollout notes, and HRMS onboarding checklist.
  • Custom contracts & invoicing — default contract clauses and payment terms on every client invoice.

4. Collaboration & projects

4.1 Chat & channels

Create public or private channels, send direct messages, and receive real-time notifications via WebSockets. Mentions and typing indicators keep conversations responsive.

4.2 Projects & tasks

  • Projects group tasks, tickets, files, and time entries.
  • Tasks support assignees, due dates, subtasks, and threaded discussions.
  • Link work items across modules without losing context.

4.3 Agile delivery

  • Kanban & Scrum boards — drag-and-drop issue management.

5. Tickets & SLA

Priority-based Softwire SLA: first response & resolution deadlines

5.1 Ticket management

Create tickets with priority, assignee, due dates, and labels. Public comments, internal notes, attachments, and analytics help support teams stay on top of volume.

5.2 SLA policies

Configure per-priority policies (urgent / high / medium / low) with first-response and resolution targets. Default policies are created automatically.

5.3 How SLA is tracked

  • New ticket → first response due + resolution due timestamps are set.
  • Agent's first public comment → first response recorded.
  • Missed deadline → breach count increments in analytics.
  • Business hours: Mon–Fri 9am–6pm (optional 24/7 mode).

6. HRMS — People, KYC, org chart, shifts

Org chart, employee KYC, shift roster, payslips

6.1 Employee directory

  • Profile fields: job title, department, manager, pay type (monthly/daily/hourly).
  • KYC block: PAN, UAN, ESI, bank account, IFSC for payroll compliance.
  • Salary visible only to Owner/Admin roles.

6.2 Org chart

Set managers on the Employees page — the org chart builds automatically from reporting hierarchy.

6.3 Shifts & roster

  1. HRMS → Shifts → create template (name, start/end, grace minutes).
  2. Assign shift to employee with effective date.
  3. Roster table shows all active assignments.

6.4 Attendance & leave

Check-in/check-out logs with device support. Leave requests flow to managers for approve/reject with email and in-app notifications.

6.5 Payroll

Create payroll runs, generate payslips, mark as paid — employees receive notification when enabled in Settings.

6.6 Performance & recruitment

Performance reviews, goals, job postings, and candidate tracking extend HRMS into talent management.

7. CRM & sales pipeline

7.1 Core objects

  • Leads — capture prospects with source tracking.
  • Accounts & contacts — organize customer relationships.
  • Deals — pipeline stages from prospecting to won/lost.

7.2 Deal → Invoice bridge

  1. Create a deal and attach products.
  2. Move through pipeline stages until Won.
  3. Draft invoice auto-created for users with billing permission.
  4. Client auto-created if CRM account email matches billing client.

7.3 Activities & insights

Log calls, meetings, and notes against leads/deals. CRM insights dashboard shows pipeline value, conversion, and stage events.

8. Billing & GST invoices

Deal → Invoice with CGST / SGST / IGST breakdown

8.1 Client setup

Add clients with GSTIN, state code, and billing address for correct tax calculation.

8.2 Invoice creation

  1. Billing → Invoices → create new invoice.
  2. Add line items: description, quantity, rate, optional HSN/SAC and GST %.
  3. System calculates subtotal, CGST, SGST, IGST, and total automatically.

8.3 Client portal

Each client gets a unique portal link to view invoices and linked projects. Regenerate the link if compromised.

9. Expense approval

Any member can submit expenses under Billing → Expenses. Mark expenses as billable to include them on client invoices.

10. Security, RBAC & backups

10.1 Role-based access (RBAC)

Security → RBAC matrix controls every module × action (menu, list, view, create, edit, delete). Sidebar menus filter based on permissions.

10.2 Two-factor authentication (2FA)

Enable TOTP via authenticator app (Google Authenticator, Authy, etc.). Scan QR code and save recovery codes securely.

10.3 Audit logs & backups

Audit trail records sensitive actions. Download JSON workspace backups including members, projects, tickets, clients, invoices, HRMS profiles, and CRM deals.

11. Performance & reporting

  • My performance — personal velocity, ticket stats, and time productivity charts.

12. REST API

13. FAQ

GST invoice shows wrong tax split?
Verify state codes on both organization Settings and the client record. Same state = CGST+SGST; different state = IGST.
Invite email not arriving?
Configure MAIL_* in your .env file. Local development may use the log driver.
Org chart is empty?
Assign managers on the HRMS Employees page first.
Can employees see salary data?
Only Owner and Admin roles can view salary fields.
Where is in-app documentation?
After login, open Settings → Documentation inside your workspace for workspace-specific guides.
How do I get support?
Contact us or open a ticket in your workspace.
